General Terms and Conditions for the ESA2022
Registration and payment
The following General Terms and Conditions regulate the contractual relationship between the participant in the congress and the Leibniz-Centrum for Agricultural Landscape Research (hereinafter referred to as "the organizer"). Deviating General Terms and Conditions of the participant are not valid.
Registration will be open after all abstracts have been submitted and reviewed. Registration can be made via online registration. Sending an online registration is considered a firm booking, and with your registration you automatically accept the general terms and conditions. Registration is considered confirmed once payment has been received in full. Full payment must be received no later than one week before the congress begins. We accept credit card and bank transfer payments. All payment fees must be paid by the sender. Registration and payment will be confirmed by e-mail.
Based on current planning, registration is intended to be open from 1 June to 15 August 2022. Deviations from these dates are possible and in the responsibility of the organizer.
On-site or on-line congress
Experiences with the highly volatile national and international regulations on COVID-19 pandemic containment makes it necessary that the planning for the congress includes two parallel pathways for implementation. The favoured implementation is the on-site congress in Potsdam, the alternative implementation in case of too restrictive official regulations will be an online congress. The decision on whether one or the other from will be implemented is due on 28 February 2022. Information on the decision will be communicated via the congress website and via e-mail to all abstract submitters.
- Regular Ticket: Early bird 380 EUR, Full (after 15 July 2022) 450 EUR
- Student Ticket: Early bird 250 EUR, Full (after 15 July 2022) 300 EUR
- Conference Dinner: 70 EUR
Excursuion Day 31.08.2022:
- Müncheberg/Tempelberg: 45 Euro
- Dedelow: 55 Euro
- Eberswalde: 45 Euro
- Spreewald: 50 Euro
Cancellations can only be made in writing.
- Cancellations received until 30 June 2022 will be refunded with 15% deduction.
- Cancellations received between 1 July and 31 July 2022 will be subject to a cancellation fee of 30%.
- For cancellations occurring after 1 August 2022 no refunds can be made.
- For cancellations of Satellite Workshops no refunds can be made.
- Bank administration fee and credit card fee will not be refunded.
In the event that the congress is canceled by the organizer, a full refund will be made. Liability is limited to the amount of the contributions paid by the participant; there is no additional liability towards the organizers.
In the event that the congress cannot be held or is postponed due to events beyond the control of the congress organizers (force majeure) or due to events that cannot be attributed to willful intent or gross negligence on the part of the congress organizers, liability applies limited to the amount paid by the participant, there is no additional liability towards the organizers. In this case the organizer is entitled to deduct payment fees from the registration fee and refund the reduced amount to the account of the participant.
Changes and postponement
The organizers reserve the right to make changes to the congress program, schedule and venue at any time. In the event that for some reason a postponement of the congress or a change of the dates becomes necessary, the organizers are not liable for expenses, damages or losses of the participants.
If the event can take place through reorganization or postponement, registration between the participant and the organizers remains and is subject to the cancellation policy above.
Local organization and personal documents
Participants can pick up their personal congress material at the registration desk. The congress secretariat is available to assist you during the congress.
All participants receive a certificate of attendance during the congress together with the congress material and the official congress name badge. Participants are requested to wear the name badges on all congress occasions.
Proceedings will be published electronically. The proceedings will be available online from the congress website.
Lunch and refreshments, Congress Dinner
Lunch, coffee, tea and other refreshments are included in the registration fee and will be served during the breaks. Participation in the congress dinner requires an explicit registration during the overall congress registration. The costs for the congress dinner are not included in the registration fee. Participants who have opted to attend the congress dinner when registering for the congress will be charged a separate item on the congress invoice.
Letter of Invitation
Upon request, the congress organizers are pleased to send a personal letter of invitation to enable participants to obtain supporting funds or visas for attending the congress. These invitation letters cannot be considered as an offer of financial support by the organizers.
It is the sole responsibility of the participant to take care of their visa requirements. Participants who require an entry visa must allow sufficient time for the application process.
Photos and Filming
Photographs, moving images and audio material (in short: media) will be taken during the congress within the scope of press and public relations activities and may be stored electronically for an unlimited period and published electronically and/or in print. By taking part in the congress you grant the organizers full rights to use the media in their printed and online publicity, social media or press releases, such as publication on the ZALF website, the ZALF Intranet, the internal newsletter, the ZALF magazine FELD, the ZALF Annual Report, on event flyers/posters and general ZALF flyers.
ZALF shall not be liable for the use of media relating to the auxiliary person concerned by third parties for other purposes without the knowledge of ZALF, in particular by downloading and/or copying such media from publicly accessible sources.
ZALF assures that rights to the media will not be sold, transferred, etc. to third parties without the consent of the person concerned.
If you do not wish to be photographed please inform the organizer at least 24 hours before the start of the congress.
Websites and Links
The congress websites may contain links to other websites and networking tools that are made available to users. The organizers hereby explicitly dissociate themselves from all content of any linked pages mentioned in our homepage and we do not adopt their contents. This declaration applies to all links displayed on the present web page.
By registering to the congress participants agree that neither the organizers nor the congress secretariat assume any responsibility for damage or injuries to persons or property or loss of property during the congress. Participants are advised to organize their own health, travel and personal insurances.
Organizer of the congress is the Leibniz-Zentrum für Agrarlandschaftsforschung (ZALF) e.V. The organizer and the authorized representatives cannot be held liable for any damages, of whatever nature or loss of goods.
The organizer does not accept any liability for the topicality, correctness and completeness of the congress documents and the execution of the event. These Terms and Conditions shall be construed in accordance with and governed by the laws of Germany. Place of jurisdiction is Frankfurt (Oder), Germany.
We reserve the right to change, add, add or remove the above terms at any time without notice. Should one or more of the conditions listed in these general terms and conditions be or become invalid, the remaining conditions remain valid and apply. These general terms and conditions apply to all participants of this event, including speakers, sponsors and exhibitors.
